Accommodation Reservation

Booking Method:

After receiving your Admission Notice from the university, please log in to [http://apply.ecust.edu.cn](http://apply.ecust.edu.cn) using your application number (found in the upper right corner of the Admission Notice), then click on Dormitory Reservations to book your dormitory.

Important Notes:

1. The College will announce the dormitory booking time for all students at once (Beijing time).

2. Dormitories will be reserved for up to 5 days after your registration date. If you do not move in within this period, you will be considered to have given up your dormitory automatically.

3. If you encounter any issues during the reservation process, please contact the responsible teacher.

4. Due to limited dormitory availability, international students who cannot book a dormitory must arrange off-campus accommodation on their own.

On-campus Accommodation Registration

In accordance with Chinese laws and regulations, all international students must complete their accommodation registration within 24 hours of moving into the dormitory. Please bring your Admission Notice and passport to the front desk at the Lizhi Building to complete check-in and obtain the Registration Form of Residence for Visitors from Overseas.


Working hours:

Monday to Friday: 8:30–11:30 and 13:30–17:00

Off-campus Accommodation Registration

According to Chinese law, within 24 hours of arriving at your off-campus accommodation, you must register at the local police station with your passport and rental contract to obtain the Registration Form of Residence for Visitors from Overseas.

If you stay at a hotel, you must register at the hotel front desk with your passport and receive the same registration form.

Special Note:

The Registration Form of Residence for Visitors from Overseas is a required document for visa applications, so please keep it in a safe place.

Check-in

1. International students who have successfully booked on-campus accommodation may move into their dormitory 3 days before the designated registration day.

2. Students must bring their passport and Admission Notice to the reception desk at the Lizhi Building to collect their dormitory keys.

3. Students must bring their passport and Admission Notice to Office 107 at the College of International Education to sign the International Students Accommodation Contract, and pay the dormitory fee at Office 110 (College Affairs Office).

4. After moving in, students are responsible for maintaining their rooms:

   * Do not move any furniture or facilities within the room.

   * Use the furniture, equipment, and daily items properly; any damage will be charged at the item's value.

   * Report any damage or malfunctions promptly. The school is not responsible for loss or damage to personal belongings caused by delayed repair reports.

   * Repairs can be reported at the Reception on the first floor of the Lizhi Building.

Check-out

1. International students must notify the College at least 2 weeks in advances of their intended dormitory departure date and time.

2. On the day of check-out, students are required to return their dormitory keys to the reception desk on the **first floor of the Lizhi Building** and complete the check-out procedures.

3. The dormitory management system will send reminders to international students **one month before** their accommodation expires.

4. Generally, no accommodation will be provided after check-out.

5. Students who have graduated, completed their studies, suspended, withdrawn, or been expelled must check out within one week of their status change.

Special Note:

Full scholarship students do not need to pay the room fee but are required to sign the International Students Accommodation Contract at Office 107 of the College of International Education during registration.

Accommodation fees must be paid in full for the entire semester, covering the entire duration including winter and summer vacation periods.

Refund
If you check out during the semester?
1. The application fee is non-refundable once paid.

2. The tuition fee/deposit is non-refundable should students withdraw their application for personal reasons. If there are special circumstances, students can apply for retaining the enrollment status to the following year, and the paid fees will be postponed to the next academic year; however, students must submit the enrollment application before the deadline of the following year's enrollment application; the enrollment status will be invalidated if the application is not submitted by the deadline, and the paid fees will not be refunded.

3. If the student is unable to enroll in the programme due to force majeure factors such as visa denial or because the minimum number of classes has not been reached, the fees paid will be refunded in full.

4. Students will have until the start of the second academic year to finalize their decision. You may apply for a change of study programme at any time before then. Please note that you are only allowed to change once, and any resulting differences in tuition fees or scholarships must be adjusted as follows:

· Tuition Fee Differences:

Any outstanding balance must be paid by the student in a timely manner. If there is an excess amount, it may be deducted from the tuition fee for the following academic year.

· Scholarship Differences:

Any unpaid scholarship amount can be deducted from the tuition fees for the following academic year. However, any excess scholarship amount must be refunded by the student and paid back along with the tuition fee for the next academic year.

5. If you withdraw from the dormitory during the semester with more than 30 days remaining in your contract, 30 days accommodation fee will be deducted and the rest will be refunded; if the remaining stay is less than 30 days, the accommodation fees will not be refunded.
Procedures for Extension of Stay

The dormitory fee must be paid within 2 weeks before the due date for the extension. Payments and extension requests are handled at College Offices 107 and 110.

1) Bachelor, Master, and Doctoral Students

If you are unable to complete your studies within the normal academic term, you must apply for an extension of stay. Only after receiving approval from the college can you continue to stay in the dormitory. Dormitory fees will then be charged according to the standard for self-financed accommodation.


2) Chinese Language Students (Semester System)

Accommodation is generally provided for only one semester. Whether an extension is possible depends on the number of international students and dormitory availability, which will be decided accordingly.
